1. Overview

InsightMatter Agency Management System ("IM-AMS", "we", "us", or "our") respects your privacy. This Privacy Policy describes how we collect, use, and protect your personal information, with specific attention to SMS messaging data.

2. Information We Collect

Account Information: Name, email address, role, and agency affiliation.

Contact Information: Mobile phone number, when provided for SMS notifications.

SMS Consent Data: Opt-in status, consent timestamp, and mobile verification status.

Usage Data: Platform activity logs, case interactions, and message delivery records.

3. SMS Messaging Data

3.1 Consent. We collect and store your SMS opt-in consent, including the date and time consent was given. Consent is obtained through an explicit opt-in toggle in your user profile and is never assumed or pre-checked.

3.2 Mobile Number. Your mobile phone number is collected solely for the purpose of delivering SMS notifications related to the Open Case Pool module. It is not used for marketing or sold to third parties.

3.3 Message Content. SMS messages contain only case references and action prompts (e.g., "A new case is available"). No client names, health information, diagnoses, or other protected health information (PHI) is ever transmitted via SMS.

3.4 Delivery Records. We log message delivery status (queued, sent, delivered, failed), timestamps, and provider message IDs for audit and troubleshooting purposes. These records are retained per agency policy.

3.5 Opt-Out Data. When you opt out by replying STOP or toggling off in your profile, we record the opt-out and cease all SMS messaging to your number.

4. How We Use Your Information

  • To deliver case pool notifications and assignment alerts via SMS and email
  • To facilitate communication between caregivers and agency administrators
  • To maintain audit trails for compliance and dispute resolution
  • To improve platform features and notification reliability

5. SMS Service Provider

SMS messages are delivered through Twilio, our third-party messaging provider. Twilio processes message content and delivery data on our behalf under their Privacy Policy. Your mobile number and message data may be shared with Twilio solely for the purpose of delivering SMS notifications.

6. Data Sharing

We do not sell or rent your personal information. We share data only with: (a) our SMS provider (Twilio) for message delivery, (b) your associated agency administrator for operational purposes, and (c) legal authorities when required by law.

7. Data Security

We employ industry-standard security measures to protect your data. SMS consent records and mobile numbers are stored securely within the platform. Clinical and client health information is stored separately and is never included in SMS communications.

8. Your Rights

  • Access & Update: You may view and update your contact information, including your mobile number, in your profile at any time.
  • Opt-Out: You may withdraw SMS consent at any time by replying STOP, toggling off in your profile, or contacting your agency administrator.
  • Data Deletion: You may request deletion of your SMS data through your agency administrator.

9. Data Retention

SMS delivery logs and consent records are retained for the duration of your active account and for a reasonable period thereafter for compliance audit purposes, unless deletion is requested.

10. Changes to This Policy

We may update this Privacy Policy at any time. Material changes will be communicated through the platform. Continued use after changes constitutes acceptance.
